Booking software for mobile massage & wellness

On the road, or in your room. The diary has to know the difference.

A home visit is booked twice over: the hour the customer is told, and the block the therapist really loses with the drive at each end. A treatment at the parlour takes a room instead. One diary, and it knows which is which.

Built for mobile spas in Oman: travel measured in minutes, money in rials, times on your own clock. Built, installed, hosted and maintained by FikrFusion.

The difference

One booking, two clocks.

The customer is told an hour. The therapist loses that hour plus the drive at both ends. Aura books both.

Pick the area and its travel time comes with it — twenty minutes across town, an hour out to Barka. Nobody else can be booked into that time, and nobody has to remember it.

So a ten o’clock in Muscat is refused against an eleven in Barka, even though the two appointments never overlap.

A busy Friday can still be squeezed: a supervisor can override a therapist’s clash. Booking the same customer, or the same room, twice at once is refused outright — there is no override for being in two places.

What the customer is told

12:00 – 13:00

Deep tissue, 60 minutes, at home in Barka.

What the therapist’s day loses

11:00 – 14:00

An hour out, an hour back.

The real screens

Not a mock-up. This is the diary.

Every picture below is the working product, photographed in the demo you can open yourself.

The day board, showing space for a 60-minute deep tissue in Muscat. Green is free, black is booked, and the hatching is the drive — twenty-five minutes each side, which is why Honey’s ten o’clock costs her from 09:35.
Today. Every visit with its actions on the row: start it, complete it, move it, or say what went wrong.
Invoices. Raised by completing the visit, never typed up afterwards, and settled from the same screen.
Revenue. Invoiced, collected, still owed and commission owed, over any period, out to a spreadsheet.

What you get

Six screens do the work. The rest of it is setup.

One coordinator can run a day from the first two. Everything else exists because a day occasionally goes wrong, or because somebody has to be paid.

01

The day board

The whole day as one column per therapist, drawn on a real time axis with the travel shown as travel.

  • Free time drawn from the same rules that accept a booking
  • Click a gap and it books at the minute you clicked, not at the top of the run
  • A line across the board at the current time
  • Start, Complete, Move, No-show and Cancel on every visit

02

Taking a booking

Customer, treatment, length, address, therapist — in one screen, in the order the phone call happens.

  • Free starts offered on the quarter hour, and at the edge of every gap
  • The area comes from the customer’s own address
  • A home visit or a room at the parlour, from the same screen
  • A refusal says which rule refused it, in a sentence

03

When a therapist drops out

The screen for the morning somebody calls in sick, which is the morning the diary is worth the money.

  • Cancel a whole day, or transfer it to another therapist
  • Every booking checked against the new therapist before it moves
  • The reason is recorded against each booking
  • You get the list of customers and their numbers to ring

04

Customers

The book of who they are and where you visit them, kept once instead of on the back of a diary page.

  • Several addresses each, with the area on the address
  • Tags you invent, creatable without leaving the form
  • Search by name, phone or the reference they are filed under
  • Registering and editing are the same form, so they cannot drift apart

05

Money

Invoices, payments and what each therapist has earned. Written by the work, not typed up afterwards.

  • Completing a visit raises the invoice and the commission together
  • Part cash and part card is one sheet and two rows
  • Overpayment is refused; a mistaken payment is deleted and audited
  • Held to three decimal places, shown to as many as you choose

06

Setup and access

Your treatments, your areas, your therapists, your staff — and exactly which pages each of them may open.

  • Treatments with a price per length, and a surcharge per area
  • Therapist hours per weekday, days off, and who may treat what and where
  • Roles are yours: every page is a checkbox against a role you named
  • An audit log of every change that matters, exportable

Six reports, and every one of them exports to Excel.

RevenueWhat was invoiced, what was collected and what is still owed, with the turnover behind each treatment.
Per therapistVisits, hours worked, revenue brought in and commission earned.
Per serviceWhich treatments sell, how often, and what share of the turnover each one carries.
CancellationsHow many were cancelled or no-showed, what it cost, the reasons given, and who misses repeatedly.
Customer frequencyWho comes back and how often, what each has spent, and when you last saw them.
Peak hoursWhen the phone is worth answering, on your own clock rather than UTC.

Money

A bill cannot exist for work nobody recorded as done.

There is no button that raises an invoice out of nothing. Completing a visit raises it, which is why the takings and the diary can never disagree.

Mark a visit complete and three things happen at once: the times it really ran are recorded, the invoice is raised, and the therapist’s commission is written.

Every price is copied at that moment rather than looked up later. Raise your prices in March and February’s invoices do not move.

  • Commission is on the treatment, not the travel. The surcharge pays for the drive, not for the therapist’s hands
  • Part cash and part card is one sheet. One moment at the door, two rows in the books
  • Overpayment is refused. It is almost always a typo

Straight answers

Three things Aura does not do.

Each of these was a decision, not an omission. It is cheaper to read them here than to find them out in the second week.

It does not message your customers

No WhatsApp, no SMS, no automatic reminders. When a day is cancelled or moved, Aura records the reason and hands the coordinator the list of numbers to ring. A screen that claims a message went out, when none did, is worse than a screen that admits somebody has to make the call.

Therapists do not sign in

The coordinator runs the diary. Therapists are people in the system, not accounts — no passwords, no roles and no app to install for staff who were never going to open one. The owner and the desk sign in; you decide who else does.

It is not a customer-facing booking site

There is no public page where a customer picks their own slot. Bookings come in by phone and by message, and go into a diary that already knows the drive times — which is the part that actually needs the software.

A working demo, not a slideshow

Open the demo and run a day in it.

The demo is a made-up spa — Nasma Relaxation Oman, in Muscat, Al Seeb and Barka — running the real product with three months of bookings behind it: invoices raised, payments taken, commission calculated. Its sign-in page publishes its own accounts, so you press a button and you are in. Nothing in it is anybody’s real customer.

Sign in as the owner to see the money and the reports, or as the coordinator to see exactly what a front desk is given and nothing more.

Your address

Use ours, or use your own.

Either way your staff sign in at one address with your name on it, and there is nothing for you to install or keep running.

ON OURS

yourbusiness.fikrfusion.com

Ready on the day you start. Nothing to buy, nothing to set up, no renewals to remember.

OR YOUR OWN

bookings.yourspa.om

Already have a domain? We point it here. If you do not, we register one for you and keep it renewed.

What we do

You run the business. We run the software.

One number to ring for the lot — not a hosting company, a domain registrar and a developer who has stopped replying.

  1. 01

    Installation

We set the whole thing up: your treatments and prices, your areas and their travel times, your therapists and their hours, your staff and what each of them may reach.

  2. 02

    Your address

Ours to start with, or your own if you would rather. We set it up, point it where it needs to go and keep it renewed — nothing for you to remember in a year’s time.

  3. 03

    Hosting and backups

It stays online, it stays patched, and it is backed up. There is no server for you to think about and nothing to install on a desk machine.

  4. 04

    Maintenance

Fixes and improvements as they come up. If something is wrong you message a person, and the person who wrote it is the one who answers.

  5. 05

Changes to fit how you work

The treatments you sell, the way you price a length, what a role may do, which reports you want. The product is customised per business rather than configured around.

  6. 06

    Training your desk

We sit with whoever answers the phone and go through taking a booking, completing a visit and taking the money, until it is faster than the notebook was.

Getting started

Live in four steps, and only one of them is yours.

STEP 1

Twenty minutes on WhatsApp

How many therapists, which areas you cover and roughly how long the drive is to each. That is the whole conversation.

STEP 2

We set it up

Your address, your treatments, your areas and travel times, your therapists and their hours, your staff accounts. Nothing is needed from you while it happens.

STEP 3

You put a week through it

Run a real week beside however you work now. This is the step that is yours, and we sit with your desk through it.

STEP 4

The notebook goes in the drawer

That is it. The diary, the money and the reports are in one place.

Questions

What owners ask us first.

How much does it cost?

Quoted per business rather than off a price list: it depends on how many therapists you run and how much you want changed. Message us on WhatsApp with your therapist count and the areas you cover, and we will come back with a figure.

Does it handle the travel between areas?

Yes, and it is why the product exists. Each area carries a travel time, and a booking takes the treatment plus that travel at both ends out of the therapist’s day. The desk is never offered a slot the therapist cannot reach.

We work from a parlour as well as at homes. Does that fit?

Yes. A treatment in your own room takes a room instead of a drive, and both live in the same diary. The room is held for the hour of the appointment; a home visit is held for the hour plus the travel.

Can we book two therapists for two people at the same time?

Yes, as two bookings at the same hour, one for each customer with their own therapist. They settle as two bills; pairing them onto a single bill is not something the booking screen does today.

Does it send WhatsApp or SMS reminders?

No, deliberately. There is no messaging in it. When a day has to be cancelled or moved, Aura records the reason and hands the coordinator the list of numbers to ring. Reception talks to customers; the software does not pretend it has.

Do therapists get their own logins?

No. The coordinator runs the diary, so therapists are people in the system rather than accounts. The owner and the desk sign in, and you choose who else does.

Which currency and clock does it use?

Money to three decimal places, because the Omani rial has three, and how many you see on screen is your own setting. Times are shown on your own clock, so a report reads the same at ten at night as it does at ten in the morning.

Can it run on a phone or a tablet?

It is built for a desk or a tablet at reception, which is where the diary is actually run. The whole screen scales from 80% to 140% from two buttons in the corner, so a smaller screen gets a bigger frame rather than a shrunken one.

Who can see our information?

Only the people you give an account to, and only the parts you let each of them open. Every change is recorded: what changed, by whom and when.

What about the customers we already have?

Customers, addresses and treatment prices we can load from a spreadsheet when we set you up. Past bookings we leave where they are, because the week you go live is a cleaner line to draw than a half-moved diary.
